Info and Concepts

When receiving an item that has a shelf life, life limit or a rotable component it is important that the necessary information be appended to the batch for full traceability within Aerotrack. It’s important to note that this extra information is held against the batch number or GRN. There can only be one shelf life entered for a batch and there can only be one serial number entered for a batch.

The Bin Location field will be populated with the default as entered in the parts catalog. Enter the serial number for this item if it is a life limited part or a rotable component. The Condition can be selected from the drop down list, this displays in the batch list screen to show available inventory. The Core Credit Value can be stored here for reference. The Reserved Rego field can used to indicate that this item was brought into stock for a particular aircraft. If that feature is not in use the details can also be entered manually here. If the item is supplied by the customer to be fitted to an aircraft the owner can be recorded here. This field is a drop down list of customers already entered into Aerotrack or the user can enter a different one here.   • Date Received – the date that the item has been brought into stock via the PO.
  • Shelf Life Start –  this is the date when the item was first manufactured or cured. If a shelf life has been
  • Shelf Life (Days) – If a shelf life has been entered against the part number in the inventory list it will appear here.
  • Shelf Life Finish – If the Shelf Life (Days) has been populated and the user enters a date for the Shelf Life Start this field will be calculated by Aerotrack. Alternatively the user can enter a date manually in this field.

The “All Transactions” tab will show a new line for each inwards or outwards movement for this item or for items within this batch. At this time there will be nothing displayed in the Stock Trxfers tab, if this batch is moved from one base to another using the stock transfer feature a record will be written here.

The Linked Documents tab allows the user to import documents related to the component. The document can be a scanned image, a PDF, a word processing document, a spreadsheet or a photograph of almost any format. Click the add a new document icon Screen Shot 2016-01-27 at 11.52.22 AM , enter the category and then browse to where to location of the file on your local computer of network. Click “Select” to upload this document to the library and link it to this GRN.

If this component is life limited or a rotable it will be transferred onto an aircraft schedule from within the Maintenance Control module, for this to be accomplished it must exist in the Component Store. This will open the component card in the Component Store. If that data is to be entered later by the engineering staff click OK and the component will be created without the life information at this point.

If that component part number/serial number combination already exists in the component store a dialog window will be displayed and you must go to the Component Store to enter the life limit or overhaul information.
