This section is where the accounting aspects of Aerotrack can be setup. The organisation can create and manage their tax codes, foreign currency exchange rates, account codes and setup the interface with the organisations accounting package. The banking details can also be entered here for companies that have requested a customised invoice layout which includes that information.

Tax Codes

The Tax Codes for purchases and sales can be created here. Tax Codes can then be assigned to a Customer and Supplier within the companies section. This will then flow through to a Purchase Order or the Sale and will allocate and calculate the rate of tax charged in accordance with the data in this table.Screen Shot 2016-02-22 at 12.25.23 PMScreen Shot 2016-09-06 at 8.52.13 AMScreen Shot 2016-02-22 at 12.25.23 PM

Currencies

Using this table the organisation can create the foreign currency codes that they wish to use for a Purchase Order or a Sale. The default exchange rate can be set here and changed as often as required. When the foreign currency is used on a PO or a Sale the user will be reminded that the correct exchange rate for the day should be set.Screen Shot 2016-02-22 at 12.25.23 PMScreen Shot 2016-09-06 at 8.57.54 AMScreen Shot 2016-02-22 at 12.25.23 PM

Purchases Accounts and Sales Accounts

When interfacing with an accounting package it is important that the correct account codes are used. These should be setup before any transactions are made within the system. Click the add new record icon Screen Shot 2015-12-09 at 12.31.05 PM in either table and enter the details of the account code.

Select the account code that will become the “default account code” for purchases, this code is then attached to each inventory item when the part number is originally created. If at some point the organisation wishes to change the account code that can be done from with this section as well.

Select the account code that wish to change and make the change in the table.Screen Shot 2016-02-22 at 12.25.23 PMScreen Shot 2016-09-06 at 9.14.23 AMScreen Shot 2016-02-22 at 12.25.23 PMYou will receive a dialog window telling you haw many existing inventory items already have that account code attached and asking if you would like to change them to the new account code.Screen Shot 2016-02-22 at 12.25.23 PMScreen Shot 2016-09-06 at 9.12.44 AMScreen Shot 2016-02-22 at 12.25.23 PMClick OK to update all the items to the new account code.
